Pay Range: $22-25 / hour (non-exempt)

The Administrative & Operations (Admin & Ops) Assistant is responsible for ensuring the office operates smoothly for the benefit of onsite and remote staff and our clients. The Admin & Ops Assistant reports to and works in close coordination with the firm’s Managing Attorney. This is a career role with opportunity for growth. This is a 100% in-person, in-office role.

Key Responsibilities

  • Answer office phone; schedule and greet office visitors.

  • Handle intra-office mail (pickup, scanning, and distribution), and package and mail drop-off, courier services.

  • Prepare invoices and correspondence for attorneys and paralegals.

  • Update client databases, case tracking systems, and marketing materials.

  • Assist attorneys and paralegals with print/copy/scan, assembly, QA review, and submission of applications and petitions to U.S. government agencies.

  • Light bookkeeping duties including managing distribution of government filing fee checks and depositing checks.

  • Open and close electronic case files and maintain client information in the firm’s systems.

  • Tech troubleshooting and liaising with external IT Team.

  • Track and maintain firm’s tech inventory list.

  • Maintain kitchen and common areas.

  • Responsible for inventory and ordering office and kitchen supplies as needed.

  • Assist with building facilities requirements, including liaising with building management as needed.

  • Interact with vendors for IT, HR, shredding, shipping, plants, etc.

  • Document and update systems and policies.

  • Other projects, tasks, and errands as required to meet client and firm needs.

  • Physical Demands - Must be able to remain stationary for extended periods and lift/pull a hand cart loaded with office supplies or paper.

Requirements

  • Associate degree or equivalent experience

  • Minimum of two years of administrative or customer service work experience

  • Prior experience in a legal environment preferred

  • Intermediate MS Office skills: Word, Excel, and Outlook
